Credits
Managing credit customers
See every customer's balance, grant or charge credits by hand, refund credits or money, and export your transactions.
Overview
Anyone who buys credits from you, pays for one of your activities or receives credits from you becomes one of your customers. The Customers and Transactions tabs on the Credits page are where you keep track of them, correct mistakes and handle refunds.
The Customers tab
The Customers tab lists each customer with their current balance and totals: credits bought, granted and spent, plus when they were last active and when they became a customer.
- Search by name to find someone quickly.
- Turn on Recently active to show the most recently active customers first. This view doesn't update by itself — tap refresh to see new activity.
- Tap a customer to open their balance and full history.
| Badge | Meaning |
|---|---|
| On hold | A payment dispute is open on one of their purchases. The credits can't be spent or charged until it's resolved — respond to the dispute in your Stripe dashboard. |
| Negative | Money was refunded after the credits were already spent, so the balance is below zero. The customer can't spend credits with you until they're back above zero. |
Granting and charging credits
Open a customer to adjust their balance by hand, for example to give a free session, pay for something sold at the desk, or charge a no-show fee.
Grant credits.
Tap Grant credits, enter the number of credits and an optional note, and tap Grant. The credits are added to their balance right away.
Charge credits.
Tap Charge credits, enter the number of credits, an optional label shown in the history (for example “Racket rental”) and a note saying why you're charging, then tap Charge. A charge can't take more credits than the customer has.
The customer may see the notes you write, so keep them friendly and clear.
Granting to someone new
To give credits to a player who isn't a customer yet, tap Grant to a new customer on the Customers tab, search for them by username, and grant as usual. This becomes available once your payment account can take payments.
Refunds
Refunds are made from a customer's history, row by row. There are two kinds, depending on what you're undoing:
| Refund | Use it for | What happens |
|---|---|---|
| Refund credits | A credit payment — an activity, a tournament entry fee or a charge. | The credits go back on the customer's balance straight away. You can refund all of it or just part. |
| Refund money | A package purchase paid by card. | The money goes back to the customer's card, and the credits from that package are removed from their balance once Stripe confirms the refund. You can refund the full amount or part of it. |
Open the customer and find the row in their history.
Rows that can still be refunded show a Refund credits or Refund money button.
Choose the amount and confirm.
The dialog shows how much is still refundable. Lower the amount for a partial refund, add an optional note, and confirm.
If the customer has already spent the credits from a package you refund, their balance goes below zero and they can't spend with you until it's topped up again. Padel Fast warns you before you go ahead. Refunds you make directly in Stripe are picked up too, and the credits are removed in the same way.
A money refund also returns the Padel Fast service fee for that sale. Purchases with an open or lost payment dispute can't be refunded here — handle those in your Stripe dashboard.
Transactions and exports
The Transactions tab is your complete ledger: every purchase, payment, grant, charge and refund, with the date, customer, credits, the balance afterwards, the reference, the note and who made it (the customer, you, or the system).
- Filter by type, by a date range, or by customer — tap a customer's name in the list to show only their transactions.
- Export CSV downloads the selected days with your filters applied, for your books or your accountant.
| Type | Meaning |
|---|---|
| Purchase | The customer bought a credit package. |
| Redemption | The customer paid for an activity or a tournament entry fee. |
| Grant | You gave the customer credits. |
| Charge | You took credits from the customer's balance. |
| Refund | Credits were given back after a payment or charge. |
| Reversal | Credits were removed because their package was refunded, or a payment dispute on it was lost. |
The Transactions tab is read-only. To refund something you find there, open that customer from the Customers tab.
Try it in Padel Fast.
